Weekly review

Goal. Once a week, make sure the work goes according to plan, hours are logged, nobody is overloaded, and releases and projects are at the right stages.

Who does it. A project or department manager.

What you need before starting. Permissions to view projects, releases, tasks, tracks, reports, and resources. If some menu item is missing, ask the administrator: “Roles and access”.

Time. 30–40 minutes. It is most convenient to hold it on Friday or Monday morning.

Step 1. Overdue tasks

  1. Open Work → Workspace.
  2. Switch the mode to Team (available to the Admin and Manager roles).
  3. Choose the List view and the Later slice: it shows tasks with past deadlines and other late ones.
  4. For each overdue task choose a decision: ask the assignee to update the deadline, reassign, break into subtasks, or move to another release.

Step 2. Boards

  1. Open Work → Boards and choose the board you need.
  2. Check the columns: are there tasks that stand in one stage for a long time.
  3. If a task is stuck, write a comment to the assignee in the card.

Step 3. Team hours

  1. Open Reports → Track hours.
  2. Choose the period “This month” and find rows with empty days and a small sum.
  3. Remind employees to log time: older than 7 days cannot be logged (“Time tracking”).
  4. For a breakdown by project, open the “Time allocation” report, the Hours mode.

Step 4. Workload

  1. Open Work → Workload.
  2. Choose employees. On the Gantt chart, find people who have several tasks at once and those who have free windows.
  3. Move tasks from overloaded people to those with free capacity.

Step 5. Plan and fact

  1. Open Resources → Plan–fact, the current month.
  2. Go through the amber cells (underload) and red cells (overspend): “Resource planning”.
  3. For the general picture, open the Statistics tab: the target spend is 85–100% of the plan.

Step 6. Releases

  1. Open Work → Releases.
  2. Check the stage and deadline of each release. On the release's “Overview” tab you can see how many days remain at the stage.
  3. If a release is ready, move it on: “Closing a release”.
  4. If the deadline is at risk, revise the composition on the “Scope” tab.

Step 7. Changes

  1. Open a project, the History tab.
  2. Review the comments and changes for the week.
  3. For a detailed timeline, the administrator can use the “Audit log”.

The outcome of the week

Record the decisions with a comment in the project or release: what changed, who is responsible, and by when.
