- A list of employees with emails, roles, and projects.
- Mail server (SMTP) data and/or a Telegram bot token if notifications are needed.
Time. 2–3 hours.

Step 1. Check your access
- Sign in to the cabinet and make sure the menu has the Admin group: Workflows, Task types, Work types, Users, Custom fields, UI labels, Roles, Audit log, Sessions, Notification transports, Notification RACI.
- If some items are missing, check the role in “Users”: your role must be Admin.
Step 2. Roles
Roles ship preset: Admin, Manager, Developer. Check each one's permissions and create new ones if needed. More: “Users and roles”.
Step 3. Users
Create accounts in Keycloak, then cards in Assist with the same emails. More: “Users and roles”.
Step 4. Directories
- Open Admin → Work types. The standard set: “General”, “Development”, “Design”, “Review”, “Meetings”, “Support”. Add the missing ones, for example “Analytics”. Employees choose them when logging time.
- Open Admin → Task types. Bug and Default are preset. Add the types your process needs. Each new type gets its own workflow.
Step 5. Workflows
Check whether the shipped processes suit the company: “Configuring workflows”. Clone system workflows and edit the copy.
Step 6. Fields
If you need your own fields (for example, “Contract number” on a project), create them: “Custom fields”.
Step 7. Notification transports
- Open Admin → Notification transports.
- Click Add system transport, choose a channel (Email, Telegram, Element, Web Push), and fill in the parameters.
- Click Verify: the cabinet confirms it works.
- Turn on the Available to users switch.
Secrets are not shown after saving.
Step 8. Notification RACI
- Open Admin → Notification RACI.
- In the Accountable for the result (A), Consulted (C), and Informed (I) lists, choose people. The assignee (R) is determined from the task.
- Changes are saved automatically.
For individual projects, rules are overridden on the project's “Settings” tab.
Step 9. Production calendar
Open Resources → Calendar and mark working, shortened, weekend, and holiday days for the year. The calendar is used in resource planning and in calculating the norm: “Resources. Calendar”.
Step 10. The first project
Create a pilot project and check the whole path: a task, hours, a release. More: “Creating a project”.
How to check the result
- Each employee can sign in and sees the needed menu items.
- An assignment notification arrives in the selected channel.
- In the pilot project a task passes through stages and hours are logged.
Typical mistakes
| Situation | Cause | Solution |
|---|---|---|
| An employee signs in but sees little | The default role is too narrow | Assign a role in the user list |
| The email in Assist and Keycloak differ | Linking is by email | Correct the email in the card |
| A transport does not pass verification | Wrong parameters | Read the verification error text, correct it |
